Know at all times where each paper original is

Warehouses, racks and boxes labelled with a QR Code; every document filed, checked out or returned with a confirmed scan; a movement log nobody can rewrite.

From the box to the inventory, a guided journey

Each step takes a few scans. Nothing moves without your confirmation.

Step 1 of 5

Label your locations

Warehouses, zones, racks and boxes get a unique QR Code, printed on A4 sheets or on a ticket printer.

What the module does

Check-outs and returns

Borrower, reason and due date; overdue items are reported to archivists every day.

Inventories

The expected content is frozen when opened; matching, missing, unexpected and unknown items are computed exactly.

Tamper-proof log

Each movement is chained to the previous one by a fingerprint; a nightly check verifies the chain.

Search

By title, reference, type, department, dates, third party, keywords, code or location.

Roles

Archivists, operators and viewers; confidential documents restricted to a list.

Full export

Your PDFs, your metadata and the log, with the procedure to verify the chain yourself.

The right label format for every container

Compare the formats offered by the module. A printed QR Code reads reliably from 12 mm per side.

7Q2M-K8XA-3D9F-P Box 0127 Warehouse › Rack 03 › Level 2
70 mm 37 mm
A4 sheet 3 × 8 A4 laser printer

The usual format for boxes and binders: 24 labels per sheet.

Relative scale: formats can be compared with each other.

Recommended equipment

The module works with standard hardware. Here is what we recommend; print the calibration page before a large batch.

Printing

Epson TM-L90

Thermal roll printer, to print a label on demand at the archive desk.

  • 80 or 58 mm rolls
  • “80 mm ticket” (72 × 50 mm) and “58 mm ticket” (48 × 40 mm) formats
  • Automatic cut after each label
  • Epson driver: custom paper, 100% scale
Printing

Epson TM-L100

Compact thermal printer designed for liner-free adhesive labels: no backing paper to throw away.

  • 80 or 58 mm rolls
  • Same “ticket” formats as the TM-L90
  • Automatic cut
  • Small footprint on a front desk
Printing

A4 laser printer

For label sheets: laser printing lasts longer than thermal paper.

  • 3 × 8 sheets (70 × 37 mm, e.g. Avery Zweckform 3474)
  • 2 × 7 sheets (99.1 × 38.1 mm, e.g. Avery L7163)
  • Actual size, no “fit to page”
  • Reuse of a partly used sheet
Supplies

Labels and rolls

The media matters as much as the printer for labels that last as long as your archives.

  • Permanent adhesive labels on boxes
  • “Long-life” thermal paper for tickets
  • Keep tickets away from light and heat
  • QR codes at least 12 mm per side
Scanning

USB 2D scanner

A QR Code reader that “types” the code like a keyboard: no driver, nothing to install.

  • Reads QR Codes (2D), not just barcodes
  • Keyboard mode (HID) with Enter after the code
  • Wireless model for the shelves
  • Ideal for filing large batches
Scanning

Smartphone

The phone camera is enough: the “Scan” page reads QR Codes right in the browser.

  • Recent Android (Chrome) or iPhone (Safari)
  • HTTPS connection, required for the camera
  • Burst scanning to fill a box
  • No app to install

No artificial intelligence, by design

The module does not read your documents: no text recognition, no automatic classification or suggestion. A document only changes location through the confirmed action of an authorised person. The same sequence of actions always produces the same state.

The module is optional: it is enabled account by account, and can be disabled without losing anything — your archives remain viewable and exportable.
